Co-ownership Solutions LLP ("we", "us", "our") is a limited liability partnership registered in England and Wales under number OC363695. We are the data controller responsible for the personal information described in this notice.

The information we collect
- Information you give us. When you complete our enquiry form or email us, we receive the details you choose to provide — typically your name, email address, telephone number (if you give it), your business name, and what you tell us about your business and your question.
- Correspondence. If we go on to work together or continue a conversation, we keep the emails, notes and documents relevant to that relationship.
- Technical information. Like most websites, our hosting provider automatically logs basic technical data (such as IP address, browser type and pages requested) to keep the site secure and working. Some pages load code libraries and fonts from third-party networks, which may also log your IP address — see our cookie policy.
We do not collect special category data through this website, and we ask that you do not send us sensitive personal information through the enquiry form.
How we use your information, and our lawful basis
- To respond to your enquiry and take steps at your request before any engagement — lawful basis: performance of, or steps prior to entering into, a contract, and our legitimate interest in responding to people who contact us.
- To provide our advisory services where you become a client — lawful basis: performance of our contract with you.
- To meet our legal and regulatory obligations — lawful basis: compliance with a legal obligation.
- To keep our website secure and functioning — lawful basis: our legitimate interest in operating a safe, reliable website.
We do not operate a marketing mailing list, and we do not use your details to send you marketing. If we ever introduce one, it will be opt-in only.
Who we share it with
We do not sell your information, and we do not share it for marketing. We disclose personal information only in limited circumstances:
- Professional advisers. Where reserved legal activities or other specialist input are needed for your matter, and with your knowledge, we work alongside regulated firms — including Spencer West LLP — and, where relevant, your own accountant or solicitor.
- Service providers. Our website hosting and email providers process data on our behalf under appropriate contractual safeguards.
- Legal obligations. We may disclose information where required by law, regulation or a properly made request from an authority.
International transfers
Some of our service providers may process data outside the UK. Where they do, we rely on appropriate safeguards recognised under UK data protection law (such as adequacy regulations or the International Data Transfer Agreement) to protect your information.
How long we keep it
We keep enquiry information only as long as needed to deal with your enquiry and for a reasonable period afterwards. Where we act for you, we keep client records for as long as required to provide our services and to meet our legal, tax and professional obligations, after which we securely delete or anonymise them.
